IITM BS Document Verification Taking Too Long? What to Do

The official DS FAQ says document verification for IITM BS can take up to 3 weeks, and that you will be updated by email or SMS. If you are still under verification after that, raise a ticket on the Student Support Portal, wait at least 24 hours, and follow up on the same ticket. Only then escalate, one level at a time, quoting your ticket number. Meanwhile, check whether any document was returned for re-upload, because that is the one delay you can fix yourself.
What gets checked
The DS FAQ says the team checks several files for each student: your photograph, signature, ID card, and any SC, ST, OBC-NCL, EWS or PwD certificate. When you register for foundation courses after the qualifier, you also upload one education document: your Class 12 or equivalent marksheet, a degree certificate, or the certificate of your highest education.
So within the 3 weeks the FAQ mentions, a wait is not by itself a sign that something is wrong.
Why it matters
Your roll number and official student email ID are issued only after your documents are approved. This is in both handbooks. Once issued, you use that email to log in to the portal and your courses.

First, check for a returned document
The FAQ says a file can be "returned" or "rejected" if it is unclear, broken, wrong or incorrect. When that happens, you get a chance to upload a valid document again, but only within a deadline. Missing that message is an easy way to lose time.
When you re-upload:
- Scan the full page, with all four corners visible.
- Make sure the text is sharp and readable when you zoom in.
- Check that the name matches your application.
- Open the file yourself after saving, to be sure it is not broken.
- Upload the document type that was asked for, not a similar one.
Also check your spam folder and SMS for status updates.
The support and escalation steps
Both handbooks describe the same process:
- Raise a support ticket on the Student Support Portal.
- Wait at least 24 hours for a reply.
- Follow up on the same ticket if there is no reply. Do not open a new one.
- Escalate only if you still have no reply, or the reply does not solve it.
The escalation levels, in order:

The e-mail IDs for each level are in your programme's handbook. The DS handbook also asks you to mention your ticket number when escalating, give each level time to reply, avoid sending many e-mails about the same issue, and not skip levels. Details are in support tickets and the escalation matrix.
What to write in your ticket
A clear ticket saves a back and forth:
- Your name, application number and programme (DS or ES).
- The exact status shown, and since which date.
- Which documents you uploaded, and when.
- A screenshot of the status page.
Keep it polite and short. A ticket with everything in one place is easier to act on.
Keep your own records
Save these in one folder: the files you uploaded, payment receipts, screenshots of your status, and every ticket number with its date. If you need to escalate, you will have everything ready.

Both handbooks say course videos are also available on YouTube as a public playlist. You can start watching the content for your registered courses before your student email arrives, so you do not fall behind.

Common questions
It has been 4 weeks. Is something wrong with my application?
Not necessarily, but 4 weeks is longer than the 3 weeks the FAQ mentions. Check for a returned document first. If nothing was returned, raise a ticket and follow up on it.
Will my registration be cancelled if verification is not done before the term starts?
The handbooks do not say. Raise a ticket early, before the term starts, so the team knows about your case.
Can I e-mail the Director or the Dean directly?
The escalation matrix must be followed in order, and escalations without an earlier ticket may not be taken up. Start with a ticket.
How long is an approved OBC-NCL or EWS certificate valid?
